Order Management for Rental of Sports Equipment

The client and the requirements

This order management module was aimed at managing rental orders on sporting equipments. Features include specifics such as billing, shipping, availability dates, inventory management, delivery and return tracking, to name a few.

The rental order management system would help the client manage bookings, generate and send estimate in the order mail to the customer, manage status of shipped and returned orders, generate reports on lost devices and booking calendar. Specific email templates will help the client to generate automatic mails to customer for the various stages of an order – booking, shipping and returned acknowledgement.

The high quality yet simple web application was developed by LiteBreeze using PHP and MySQL technologies.

Solution

A robust solution was built with features that would permit the client to manage subusers and bring in accountability to operations by assigning permissions to subusers with respect to access and management of the admin module. Since the client already had an internal invoicing system the same was accounted for while managing orders. The solution would permit the admin to manage inventory types – with/without serial, tags, inventory quantity, cost, type of use and boxes for item shipping or pickup.

The application would permit the client to enter rental bookings, manage their shipping or collection, specify number of items to be rented out, shipping and return dates and email notifications to the customers. The client can quickly sort out orders based on their booking, shipping and return status. Reports can also be generated based on a set period in the booking calendar as well as specifically for lost devices for returned orders. Email templates can be set to generate default mails to customers for booked, shipped and returned items.

The solution has been developed keeping in mind the present invoicing and internal inventory management system of the client which makes it easier for the client to manage records and invoices for the items. The system saves time and minimizes costly delays and loss of equipment.
